- Guest names, table and seat assignments, guest lists, floorplans, menus, schedules, and uploaded event images
- Guest check-in records and timestamps when the organizer uses check-in tracking
- Photos and messages guests submit when photo sharing is enabled
- Guest attributes and relationship rules entered for the AI Seat Optimizer, and generated seating assignments
- Support messages and chat conversations you choose to send us
We collect this data so we can deliver the online seating chart service you requested, communicate with you about your order, and provide customer support.

Event Organizers, Guests, and Visibility
Organizers decide which guest data to upload and which event details to display. Where applicable privacy law distinguishes these roles, the organizer acts as controller of guest data and DigiSeats processes that data to deliver the service. DigiSeats separately handles account, order, website, and support information for its own service operations.
An event QR code or link can be forwarded to others. Anonymous View and tablemate visibility settings help limit what other guests see, but they do not make an event link private or replace access controls. Organizers should share links carefully, check their visibility settings, and upload only information needed for their event.
Photos and messages are made available to the organizer through the event's photo-sharing feature. Guests should have permission to share images of other people. For a request about a guest list, seating assignment, or event photo, contact the organizer first; you may also contact DigiSeats for assistance.
Cookies and Tracking Technologies
Cookies and browser storage support sign-in, preferences, analytics, and support chat. Some are needed for the service to function; analytics and third-party embeds serve different purposes. You can control cookies through your browser and use Google's analytics opt-out tools. Blocking storage may affect sign-in or other features. Where applicable law requires consent for non-essential tracking, that requirement is separate from acceptance of this policy.
Third‑Party Tools
Service providers support website hosting (Netlify), account and data services (Supabase), website analytics (Google Analytics), support chat (Tawk.to), payment processing, and email delivery. Using an embedded service or following an external link may disclose your IP address and browser information to that provider.

Information is shared with organizers and guests as needed for the event features and visibility settings described above, and with service providers as needed to operate the service. Any usage statistics shared publicly should be aggregated or de-identified rather than identify individual guests. Providers may process information in countries other than your own, where privacy laws can differ. Applicable legal requirements govern international transfers; this policy does not promise that all information stays in a particular country.
Data Retention and Downloads
Guest photo uploads are offered with a 10-day storage window. Organizers must download photos and messages within the availability window shown for their event; this feature is not permanent photo storage. Contact support if you need help identifying your event's deadline.
Other account, event, transaction, and support information is retained as needed to provide the service, comply with legal and recordkeeping obligations, resolve disputes, and maintain security. Retention varies by purpose; there is no single deletion deadline for all records. You can request deletion through our contact page. Stopping use of the service does not itself delete an account, and copies already downloaded by organizers or guests are outside DigiSeats' control.
Your Choices and Rights
Keeping Your Information Accurate
Depending on your location and applicable law, you may have rights to access, correct, delete, or obtain a copy of your personal information, restrict or object to certain processing, and withdraw consent where processing relies on consent. Contact us through our contact page to make a request. We may need to verify your identity and coordinate with the event organizer; legal obligations may limit some requests. You may also have the right to complain to your local privacy regulator.

Sensitive Information and Children
Do not upload government identification numbers, full payment card details, or unnecessary sensitive information in guest lists, seating rules, support chat, or event content. Guest attributes can reveal personal relationships or other sensitive details; organizers should minimize these and have a lawful basis for their use. Payment information required at checkout is handled through the payment provider.
Organizer accounts are intended for adults aged 18 or older. Events may include children whose names or images are supplied by organizers or other guests; the service is not directed at children creating their own accounts. Organizers and uploaders are responsible for any parent or guardian permissions required by law. Contact us if a child's information has been provided improperly so we can review and address it.
Security and Data Protection
